Commissioning a Custom Costume 101: Timeline, Budget, and What to Expect

Ordering a bespoke costume is different from anything else you'll ever buy. There's no size chart, no warehouse, no second copy. There's a character you love, and a team that will spend weeks turning it into a garment built around your body.

If you've never commissioned before, the process can feel opaque: How long does it take? What drives the price? What happens after you send the first message?

This guide answers all of it — honestly, numbers included. It's the same walkthrough we give every first-time client.

First · The Decision

Is a bespoke commission right for you?

A commission starts at $1,500, and our median project runs $3,000–4,000. What you're buying is a one-of-a-kind garment — patterns drafted from zero, materials hunted down or modified, armor, electronics and handwork shaped around your measurements. Nothing about it exists until you order it.

Bespoke is for you if you want a specific character, made to fit you, at a quality level that survives conventions, photos and years of wear. If you need something fast or budget-friendly, our in-stock options are the better door — and nobody at the atelier will ever guilt you for it. Bespoke is one path, not the only one.

Step 01 · The Brief

What to prepare before you write to us

Every commission begins with a conversation, not an order form. You'll get the most out of it if you arrive with four things:

1. Your character and version. Game render, anime frame, movie scene — characters look different across media, and picking the canon version up front saves weeks.

2. Your date. The event, the con, the photoshoot. Everything on our side is planned backwards from it.

3. Your budget range. Honest numbers let us design honestly. A brief built around $2,000 is a different garment than one built around $5,000 — and there's no shame in either.

4. Your usage. Will you sit, dance, hug strangers, compete on stage? Movement requirements change construction decisions more than anything else.

Then we research — references frame by frame, construction planned piece by piece — and come back to you with a complete brief: what we'll build, how, and what it costs.

Step 02 · The Budget

What moves the price up — and what doesn't

Our median bespoke project runs $3,000–4,000, starting from $1,500. Where does the money go? Roughly half of it becomes materials and the hands that shape them — fabric, thermoplastics, wiring, and the specialist hours of a workshop of around 30 people. That ratio is the honest economics of bespoke: it isn't margin, it's the craft itself.

Pushes cost up: full armor sets, electronics and LED work, layered tailoring, rare or modified fabrics, props, wigs styled from zero, and any deadline tighter than the standard timeline.

Doesn't push cost up: asking questions, requesting progress updates, or being upfront about a limited budget. A well-communicated $2,000 project is cheaper to make than a vague $4,000 one — clarity saves hours, and we price accordingly.

The quote you receive covers the whole journey: design, materials, labor, shipping. No surprises after the deposit.

Step 03 · The Timeline

How long a bespoke costume actually takes

Honest answer: longer than mass-produced, faster than you'd fear for something made from zero. Every project is different, but the shape of a typical commission looks like this:

Brief, measurements, technology discussion 7-10 days
Construction process 3-10 days
Design, printing up to 3 weeks
Patterns, materials cutting 3-10 days
Sewing/Production 1-3 weeks

Shipping to you

7–10 business days express / 25–35 standard

One thing worth knowing up front: our atelier works from Kyiv. Since 2022, that has meant blackouts and disrupted logistics as a weekly reality — so the dates we quote are set with that in mind, not despite it. It's exactly why the deadlines we do commit to, we keep.

If your event is closer than the typical window, tell us the real date in the brief. We'll tell you honestly whether it's doable before any money changes hands — an honest "not this time" beats a broken promise, and we mean that.

Step 04 · Payment

How payment works

Bespoke projects are secured with a deposit and completed on an agreed schedule: [describe your deposit %, milestone payments, and accepted methods — fill in]. You'll receive everything in writing before the first payment, and every payment lands against the quote you already approved. Nothing is charged that isn't in that document.

Step 05 · Communication

What we expect from you, and what you can expect from us

A bespoke costume is built through dialogue. From you, we need timely answers at the moments that matter — design decisions, material options, fitting checkpoints. Every reopened decision costs schedule, so we keep the questions few and the moments clear.

From us, you get progress updates at agreed milestones, explanations of every choice we make, and honest warnings the moment anything threatens your date. You should never have to chase us to find out how your costume is doing. After a decade of making for clients across the US and Europe, that rhythm — involved client, unbroken production — is something we've genuinely gotten good at.

Step 06 · Expectations

The honest page: returns, copies, and what bespoke isn't

Three things worth saying plainly, because we'd rather over-communicate than disappoint:

A bespoke costume can't be returned. It fits one person, one character, one story — there is no restock shelf for it. That's exactly why the brief and quote are agreed in full before the deposit: the document protects both of us.

It's not a replica — it's a translation. Fiction was never engineered to exist. We keep every detail that matters and adapt the physics where reality insists. That's not a compromise; it's the craft.

Step 07 · Delivery

Shipping, unboxing, and the first convention

Your costume travels armored: structured padding, shape keepers, electronics secured, every detachable piece inventoried. Express shipping runs 7–10 business days, standard 25–35, with tracking from the moment the box moves. Depending on your country, import duties may apply on arrival — your customs rules, not our pricing, set that.

When it lands: unpack slowly, keep the packaging for storage, and give yourself a dress rehearsal before event day — zippers, closures, a sit, a walk, a hug test. Every costume is photographed in-house before it ships, so you'll know exactly what's arriving.

Step 08 · FAQ

The questions every first-time client asks

I'm not in the US — can I still order?

Yes. Our biggest market is the United States, and we regularly deliver across Europe — Germany, Finland and the Nordic countries among them — with express and standard shipping worldwide.

How early should I order before my event?

Work backwards from the timeline table above, then add breathing room for fittings and shipping. The earlier your brief reaches us, the more design room your costume gets. If your date is tight, say so in the first message — we'll tell you honestly if it's workable.

My character has almost no good references. Is that a problem?

Not at all — it's normal. Researching a character frame by frame is stage one of our process. If several versions exist, we'll agree on the canon one together in the brief.

Do you offer payment plans?

[Describe your real deposit/milestone schedule here — fill in.] The full schedule always lands in writing with your quote, before any payment.

Can you build armor, LEDs, props?

Yes — tailoring, corsetry, armor and props, electronics, painting and wig styling are all in-house crafts, tested before they're hidden inside the finished garment.

What if it doesn't fit?

Fittings and measurement checks are built into the process before a single yard of final fabric is cut — that's what the mock-up stage exists for. Reach out the moment something feels off; we've solved most fit issues with a conversation and a well-placed seam.

Ready when you are

The first message costs nothing — and it's where every costume here began.

One of a kind. Made only for you.
